The Wabash Center for Teaching and Learning in Theology and Religion is funded by Lilly Endowment, Inc., to enhance teaching of religious and theological studies in higher education. The Wabash Center embodies its mission for the support of faculty through such activities as: educational programming, networking/social media, regranting, and educational resources. The Administrative Assistant is part of a staff that thinks creatively to organize, implement, and assess Wabash Center activities. Specifically, the work of the Administrative Assistant provides support for the administrative, programmatic, and technological aspects of the Center’s activities, resources and events.


Key Responsibilities:


  • Assist the Grant and Finance Administrator with various tasks while providing exceptional customer service to all customers, external and internal.
  • Bookkeeping and financial recordkeeping assistance which would include, but not be limited to, such tasks as: creating payment requests, monthly charting of spending, credit card reconciliation, managing of operational grant, managing of re-granting program, processing travel reimbursements.
  • Database assistance which would include, but not limited to, such tasks as:

entry of data into and managing data in File Maker Pro, creating excel spreadsheets for financial reporting as related to operational grant and the re-granting program, keeping multiple spreadsheets updated, managing Box files.

  • Financial reporting assistance which would include, but not be limited to, such tasks as: creating monthly, quarterly, and annual financial reports; charting spending, writing grant proposals.
  • Office duties, which would include, but not be limited to, such tasks as: replying to inquiries about re-granting program; assist with on-site meeting coordination as well as off-site events, placing and stacking supply/equipment orders, sorting and distributing mail, filing etc.


Qualifications & Skills


  • Associates degree or equivalent experience required.
  • Prefer previous office employment with experience in bookkeeping and financial record keeping
  • Professional experience with Wordpress; proficiency in the use and operation of Wordpress, Apple computer systems, database management (FileMakerPro preferred), Excel, Box, and Microsoft Word.
  • Willingness to learn grant management and philanthropic ecologies.
  • Previous experience and cultural competency for work with multi-racial, multi-cultural, multi-ethnic constituencies.
  • Excellent organization skills, attention to details, and precision suited for financial record keeping and reporting.
  • Ability to work both independently and collaboratively on assignments and projects.
  • Ability to work discretely with confidential materials.
  • Ability to manage multiple tasks simultaneously and with interruptions.
  • Ability to provide cheerful and genuine hospitality to guests and program participants.
  • Values working with a team of colleagues.
  • Excellent written and oral skills.
  • Willingness to travel to workshop and conference locations that include overnight stays.
  • Ability to work in a mission-drive, professional, and responsive manner with Center staff, guest participants, and the wider College colleagues.
