Administrative Assistant, The Stephenson Institute for Classical Liberalism

The Stephenson Institute for Classical Liberalism at Wabash College invites applications for the position of Administrative Assistant. The Administrative Assistant plays a key role in supporting the Institute's mission by providing administrative and financial support, coordinating logistics for lectures and student programs, supporting Scholars in Residence, supervising student workers, and helping ensure the Institute's daily operations run smoothly. The ideal candidate is organized, adaptable, and enjoys working in a fast-paced academic environment. Review of applications will begin immediately and continue until the position is filled.

Responsibilities Include:

  • Supporting the day-to-day administrative and financial operations of the Stephenson Institute, including processing purchasing cards, reimbursements, payment requests, per diems, purchase orders, mail, and maintaining financial records.
  •  Developing and implementing administrative processes that improve the Institute's operations.
  •  Coordinating on-campus lectures, The Agora, reading groups, and other Institute programs by arranging catering, preparing documents, distributing promotional materials, and providing on-site logistical support.
  •  Supporting Scholars in Residence by preparing conference materials, participant packets, swag bags, maintaining participant records, and assisting with event preparation.
  •  Hiring, scheduling, training, and supervising student workers, including assigning daily work, maintaining work schedules, approving time cards and overseeing building cleanliness and organization.
  •  Managing calendars, meetings, office supplies, building refreshments, and communications while serving as the primary liaison with Facilities, IT, Security, and Catering.
  •  Assisting with preparation for off-site conferences and seminars, including assembling materials and providing support during travel when requested.

Qualifications, Knowledge, and Skills:

  •  Strong organizational, communication, and time management skills.
  •  Excellent attention to detail and ability to manage multiple priorities simultaneously.
  •  Ability to work independently while collaborating effectively with faculty, staff, students, vendors, and campus partners.
  •  Proficiency with Microsoft Office (Word, Excel, Outlook); experience with Adobe Acrobat, Canva, Google Workspace, or similar software is beneficial.
  •  Experience with administrative support, financial recordkeeping, event support, or higher education preferred.
  •  High school diploma required; associate's or bachelor's degree preferred.
