Wabash College seeks candidates for its open position of Administrative Assistant in the Wabash Center for Teaching and Learning in Theology and Religion. This is a full-time position with benefits. Interviews with commence in July.
Founded in 1995 and supported by Lilly Endowment Inc., the Wabash Center for Teaching and Learning in Theology and Religion is dedicated to improving the teaching of religion and theological studies in higher education. As a part of Wabash College, the Center fulfills its mission by offering educational programs and events, awarding grants for faculty and institutional projects, and developing innovative teaching resources for faculty and administrators.
Job Summary
The Administrative Assistant plays an integral role on a creative and collaborative team dedicated to planning, supporting, implementing, and evaluating Wabash Center activities. This position involves a wide range of responsibilities spanning the administrative, programmatic, and technological functions of the Center’s events, resources, and operations. In addition to these duties, the Administrative Assistant also serves as the office receptionist and the building steward.
Key Responsibilities
- Program support, including but not limited to such tasks as: coordination and logistics for meetings and small group gatherings (such as preparing materials and managing on-site needs).
- Bookkeeping duties which would include, but not be limited to, such tasks as: creating payment requests, monthly charting of spending, credit card reconciliation, processing bill payments and reimbursements, financial recordkeeping, and customer service responsibilities.
- Office Duties, including but not limited to such tasks as: general office support, maintaining an inventory of promotional items, and serving as the first point of contact for phone calls, emails, mail, and in-person visitors. Additional responsibilities include ordering office supplies, coordinating building maintenance requests with Wabash College facilities, managing building reservation requests, handling incoming and outgoing mail, scheduling and supporting digital meetings, and maintaining the office calendar.
- Data entry and support includes, but is not limited to, such tasks as: entry of details related to all Wabash Center recordkeeping for project management and programming, compiling of reports, both financial and programmatic, and filing.
- Perform other duties as assigned by Director
Qualifications and Skills
- High School diploma required; Associate degree preferred
- Minimum of 5 years of professional office employment; demonstrated knowledge of professional communication standards, including proper formatting for reports and business correspondence
- Minimum of 5 years’ professional experience with software systems, e.g. Microsoft Word and Excel, Apple computer systems, database management, and ChatGPT.
- Commitment to and experience with inclusive practices in multi-racial, multi-cultural, and multi-ethnic settings
- Excellent written, oral, and imagination skills
- Ability to manage multiple tasks simultaneously and with interruptions
- Ability to provide cheerful and genuine hospitality to guests and program participants
- Demonstrated experience with working both independently and collaboratively on assignments and projects; values working with a team of colleagues
- Willingness to travel to event locations that include overnight stays
- Conscientious about details, precision and accuracy of records, reports and operational processes
- Self-initiating in a hybrid work environment; able to manage time effectively and meet deadlines
- Project management skills preferred
