Associate Athletic Director – Internal Operations & Compliance / Senior Woman Administrator

Wabash College, a NCAA Division III institution and member of the North Coast Athletic Conference (NCAC), seeks a passionate and dedicated Full-Time Associate Athletic Director – Internal Operations & Compliance / Senior Woman Administrator to join our athletic staff. The Associate Athletic Director - Internal Operations & Compliance / Senior Woman Administrator effectively manages multiple department functions, including NCAA compliance, business operations, and ticketing services. They serve as liaison to the College's Business Office and Office of the Registrar. As the department's NCAA-designated Senior Woman Administrator, the incumbent collaborates with the Director of Athletics to provide leadership to staff and students.
Primary Duties and Responsibilities
Business Operations
- Manage day-to-day business-related functions in the department
- Collaborate with coaches on team travel; dept. liaison with Go Express, charter bus provider
- Coordinate p-cards cards and liaison with campus, coaches, and staff on p-card reconciliations
- In conjunction with coaches and staff, submit travel and reimbursements to business office
- Coordinate requests of per diem, cash advances, and funds for departmental travel and events
- Collaborate with business office to ensure accurate completion and recording of transactions
- Coordinate payment of invoices, including game officials
- Coordinate departmental orders on office supplies and related bulk purchasing
- Communicate with vendors and third parties on accounts payable and receivable
Compliance Functions
- Manage day-to-day NCAA and/or NCAC compliance-related functions in the department
- Coordinate scholar-athlete eligibility certifications with Registrar's Office
- Lead preseason team meetings on all required NCAA, NCAC, and Wabash paperwork
- Proactively maintain rosters for all sports via campus and NCAA databases, e.g. Compliance Asst.
- Deliver rules education to coaches, staff, scholar-athletes, and campus community
- Compile and submit annual NCAA reports, e.g. grad. rates, sport sponsorship, financial report
- Provide monitoring functions, including playing season declarations
- Assist in rules interpretation matters
- Submit NCAA and NCAC waivers and/or secondary violations
- Educate scholar-athletes, coaches, staff, alumni, and donors on NCAA rules
- Maintain expertise on NCAA legislation; regularly attend Regional Rules Seminar
Sport Oversight
- Oversight of select sport programs, as assigned by Director of Athletics. Assist coaches in achieving desired sport program goals.
Game Operations
- Supervise and coordinate game day operations, either independently or in coordination with other athletics administrators; display sound judgment in guiding visiting teams, officials, fans, student-athletes, and the general public at home athletics events.
Ticketing Services
- Primary departmental contact for ticket operations, especially football season operations
- Communicate with student-athletes, coaches, and staff on complimentary ticket requests
- Respond to campus, parent, and public inquiries related to ticket sales and operations
- In conjunction with business functions, monitor ticket revenues and expenses
- Manage student employees and/or external groups for ticket taking at home events
Student/ SAAC Leadership
- Lead departmental Student-Athlete Advisory Committee (SAAC) and partner with Assistant AD - Scholar-Athlete Development, on student leadership development.
Other Duties as Assigned
- Such as, fully manage Dean's Excuses process from start to finish, engage with Faculty Athletic Committee; Special projects and other duties, as assigned by the Director of Athletics. Represent the department and/or College at NCAC, NCAA, and campus events in the absence of, or in conjunction with, the Director of Athletics.
Qualifications
Required:
- Bachelor’s degree
- Minimum of 3–5 years of progressively responsible experience in collegiate athletics administration, including exposure to NCAA compliance, business operations, or related functions
- Demonstrated knowledge of NCAA rules and regulations, including experience with compliance monitoring, eligibility, and reporting processes
- Strong financial and administrative acumen, including experience with budgeting, expense tracking, reconciliations, and accounts payable/receivable processes
- Proven ability to manage multiple priorities and complex workflows with strong attention to detail and accuracy
- Excellent organizational, analytical, and problem-solving skills
- Effective written and verbal communication skills, with the ability to educate and collaborate with diverse stakeholders (college community, coaches, staff, student-athletes, faculty, and external partners)
- Experience supervising staff and/or student employees, including training and performance oversight
- High level of integrity and discretion when handling confidential information
- Proficiency with standard office software (e.g., Microsoft Office Suite) and experience with compliance and/or enterprise systems (e.g., NCAA Compliance Assistant or similar platforms)
- Ability to work evenings and weekends as required for athletics events and travel
Preferred:
- 5+ years of experience in collegiate athletics administration with direct responsibility for NCAA compliance and/or business operations
- Experience serving in, or supporting, a Senior Woman Administrator (SWA) role within an NCAA institution
- Familiarity with Division III athletics and conference-specific compliance (e.g., NCAC or similar conferences)
- Experience collaborating with campus partners such as Business Offices and Registrars in a higher education setting
- Knowledge of ticketing operations, including revenue tracking and event management
- Experience coordinating team travel logistics, including vendor management and budgeting
- Demonstrated ability to lead student-athlete development initiatives, including oversight of SAAC or similar leadership groups
- Experience with financial systems, purchasing cards (p-cards), and institutional procurement processes
- Strong leadership presence with the ability to influence, mentor, and support coaches and staff
