Job Overview:

The Assistant Director of Alumni & Affinity Group Engagement is part of the Office of College Advancement, which also includes the offices of Advancement Initiatives, Major Gifts, and Planned Giving.  College Advancement is a team committed to a progressive and integrated advancement program designed to deepen existing relationships with alumni who are involved in Wabash College, while fostering new and innovative strategies and programming to attract more volunteers, donors, and participating constituents (alumni, spouses, friends, and other supporters) to the institution.

The Assistant Director is responsible for the creative development and effective execution of a comprehensive alumni and constituent engagement program. This position is charged with planning and coordinating such programs as regional alumni associations, on-campus events such as class reunions and other affinity gatherings, Monon Bell telecast parties, and Athletics Hall of Fame induction ceremonies, among others.

The Assistant Director uses data analysis, demonstrates a customer service mindset, brings interpersonal skills, and applies continuous improvement management principles to collaborate with colleagues and volunteers, executing a program that measurably increases engagement and philanthropic support.

Job Responsibilties:

  • Work within a team to execute a best-in-class alumni and constituent engagement model that provides volunteer opportunities, events/experiences, and communications that inspire active involvement and support. Events/experiences include events that take place on campus, online (e.g., Zoom and/or Teams), and at various locations off campus around the U.S.
  • Ideate and execute innovative programming aimed at engaging strategically imperative constituent segments – particularly alumni who are fewer than 15 years out from graduation, as well as unengaged alumni of all ages.
  • Lead, schedule and execute support for Wabash College’s alumni association leaders (NAWM Board), regional association boards/volunteers, regional events, the Society of Wabash College Class Agents, and Sons of Wabash, working with all these groups to maximize the success and impact of their work.
  • Coordinate alumni and affinity group engagement efforts across the college and collaborate with key partners (communications and marketing, professional development, athletics, enrollment management, and student life) in support of the mission of Wabash College. This includes partnering with the Director of Athletics & Recreation, the Director of Alumni & Affinity Group Engagement, and coaches to plan and implement specialized alumni engagement events for various athletic teams (e.g., football, soccer, cross-country, basketball, baseball, etc.), developing programs, schedules, and initiatives for these events that strive to better engage athletic team alumni with the College, and developing metrics to measure impact and annually assess movement of athletics alumni across engagement segments.
  • Execute and/or oversee the consistent delivery of social media content focused on alumni and other post-graduation constituents of Wabash.
  • Collaborate with colleagues to develop and execute differentiated communications and programming across different segments and cohorts, using data analysis, metrics, and a return-on-investment mentality to recommend programming and evaluate its success.
  • Drive intentional and value-added interactions between current Wabash students and alumni/spouses/friends in ways inspire further involvement.
  • Collaborate effectively with a team of Advancement professionals in order to contribute to a culture of mutual accountability and high performance, working with other staff using open and honest communication and leading by example.
  • Serve as an ambassador of Wabash College in interactions with students, alumni and other constituents.
  • Other duties as assigned. 

Additional Responsibilities: 

  • Assists the Director in supervising staff of the Alumni & Affinity Group Engagement (“AAGE”) office, which often includes part-time student employees (“WISE workers”) and assigned student consultants from the Center for Innovation, Business, and Entrepreneurship, or CIBE.
  • Coordinates and oversees the efforts of alumni and other constituent volunteers in support of College activities both on and off campus.

Qualifications: 

  • Bachelor’s degree required.
  • Skills in project planning, time management, volunteer motivation, event planning and management, workplace efficiency, and continuous improvement, with the ability to manage multiple projects simultaneously and bringing a deliverables-based mentality to all work.
  • Prior experience in supporting alumni relations activity in a college or university preferred.
  • Excellent communication and writing skills.
  • Creative thinking, research and analysis informed by data, critical reflection, and practical execution.
  • Proficiency with current widely-used office productivity tools, including Microsoft Excel, Word, PowerPoint, and Outlook; with popular social media platforms including Facebook, Instagram, and X; and emerging tools such as Canva for the development and publication of visually appealing promotional content.
  • Ability to serve as a key resource and collaborator with the Director of Alumni & Affinity Group Engagement and other Advancement colleagues.
  • Ability to handle highly confidential information with discretion.
  • A history of working with a diverse group of professionals in a collegial and imaginative style.
  • Belief in the mission of Wabash College.

Work Schedule and Expectations

Office hours are 8:00 AM to 4:30 PM, Monday through Friday. The job requires frequent weekday evening and weekend work supporting alumni events on and off campus. Periodic overnight travel and occasional trips of multiple days are a requirement of the position. Arrangements for periodic remote work are available, subject to supervisor approval.
