Senior Administrative Assistant to the Dean of Students

Wabash College seeks candidates for a Senior Administrative Assistant to the Dean of Students. The Senior Administrative Assistant to the Dean of Students performs a wide range of administrative, clerical, and support functions for the Dean of Students office.  General duties include, but are not limited to, direct daily support to the Dean of Students and the Associate Dean of Students, and support as needed to other positions within Student Life.

Primary duties and responsibilities include:

  • Serve as the Dean of Students liaison with students.
  • Prepare a variety of written communications, review and edit drafts and final versions as needed.
  • Anticipate problems, critical issues, and opportunities as they arise and advise the Associate Dean and the Dean of Students accordingly.
  • Collect and compile student information as needed.
  • Reconcile P-cards and oversee budget accounts.
  • Schedule and manage Sophomore Interviews.
  • Enter and maintain student room and board assignments.
  • Prepare for and attend Student Development Committee for the Trustee Board meetings;
  • send emails which include meeting documents,
  • prepare packets and reports for meeting,
  • attend meeting take notes, draft minutes.
  • Assist with New Student Orientation.
  • Manage and track correspondence and prepare correspondence from written and oral instructions. (e.g. Dean’s Excuses, Grad school recommendations, etc.).
  • Maintain the Dean of Students and Associate Dean of Students calendars and assist in planning and prioritizing their workday, screening visitors, telephone calls, and mail.
  • Organize and maintain office files.
  • Coordinate and collaborate meetings when necessary.
  • Perform other duties as assigned.

Education and Skills:

  • High School Diploma – Required
  • Associate’s Degree – Preferred
  • Work Experience Required – Minimum of three years of experience as an Administrative Assistant in an administrative role.
  • Ability to multitask, maintain attention to detail, and work independently.
  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint) and ability to learn other student-related software such as Colleague, Maxient, and Housing Director.
  • Knowledge of office and administrative practices and principles.
  • Excellent organizational and communication skills – ability to communicate clearly and concisely with interpersonal skills including tact, patience, and courtesy both orally and in writing.
  • Skilled in English grammar, spelling, and punctuation, including excellent proofreading skills.
  • Maintain a high degree of discretion when dealing with confidential information.
