Location: Trippet Hall and Caleb Mills House
Schedule: Monday – Friday; 7:30am – 4:30pm
Schedule has some flexibility; requires occasional weekend and evening hours
Appointment: Full time, Exempt, Monthly Pay

Summary of Duties and Responsibilities

The Manager of Guest Services (Manager) serves a critical role on the finance and auxiliary services team and is responsible for curating a professional guest experience for conferences, meetings, and events of the conference and hotel operations of Wabash College. Located in Trippet Hall and Caleb Mills house, the Manager ensures smooth implementation of conferences for our program managers and administrators, including the complete guest services experience from reservations and scheduling through check out and payment. The Manager oversees student and part-time staff that support the reception operation and ensures guest rooms and event rooms are ready for guests and program participants by facilitating facilities and dining services with facilities management and food service teams and working with the campus travel coordinator as needed on preparing for arrivals and departures. The manager serves as the college’s hospitality professional, providing and coordinating the “Wabash Welcome” to campus program visitors and guests.

Primary Duties and Responsibilities

• Manage the operation of Wabash College’s guest, conference, and welcome facilities, including oversight of student and part time staff serving the facility.

• Coordinate, plan, and implement conferences conducted in Trippet Hall and Caleb Mills house, including those sponsored by Wabash College departments or hosted by other authorized individuals, groups, or organizations. Services include support for promotional or workshop material distribution, travel arrangements, accommodations, and specific needs of guests or of the conference sponsors.

• Coordinate the work of Facilities Management, Bon Appétit, Campus Security, and specialized vendors serving the facility to assure that the facilities are well maintained, food service is provided, guest needs are met, and specialized systems and products are maintained and in stock.

• Manage the budget, financial management, and transaction processing for Trippet Hall operations consistent with college guidelines and business processes.

• Maintain business relationships with local hotels to meet overflow or off-site needs of the administration and departments.

• Communicate reservations and program scheduling through college scheduling processes.

• Serve as building deputy for Trippet Hall and Caleb Mills House, submitting work orders and other building maintenance requests.

• Reserve and track the use of hospitality facilities including the videoconference room and other conference rooms in the building.

• Other duties as assigned.

Qualifications

• Bachelor's degree required or equivalent required.

• Minimum of three to five (3-5) years in positions of increasing responsibility in customer service is required, hotel or hospitality management preferred.

• Excellent organization and oral and written communication skills required.

• Ability to collaborate with the college community, including senior management, faculty and staff members, students, guests, volunteers, and third-party business partners and vendors required

• Proficient with Microsoft Office products and administrative systems required.

• Ability to use or learn specialized software and electronic key access systems required.

• Must enjoy interacting and working with people, problem solving, and serving a college community.
